How do I begin?

Simply register on the home page. After you have verified your email address, you will receive a username and password. Then you can login to your dashboard.

Is EZBeanZ really free?

Yes, EZBeanZ is free for 1 user with 1 company. You can create and send up to 100 invoices per month with the Bronze License at no cost.

Is there a limited-time trial period?

No, there is no time limit. The Bronze license is free to use forever. You may renew the license indefinitely at no cost.

Can I still login if my license expires?

Yes, you can still login and you will be able to access all of your invoices and other data but with the limitations of the Bronze License.

What devices can EZBeanZ work on?

Smartphones, tablets and desktops. EZBeanZ is a multi-platform progressive web application designed to work on all modern devices.

How are payments tracked?

A transaction automatically appears on the system. When a customer pays successfully, the transaction is detected and is allocated to the specific customer's account. Payments typically take a few seconds to reflect in the database but are sometimes subject to clearance delays depending on the payment method used.

Can I setup recurring invoices?

Yes, you can setup invoices to be sent on a repeating schedule. Invoices can be scheduled to be created and sent on a particular day of the month or on a chosen day of each week. Example: every Tuesday at 9-00 am, or on the 25th day of each month at 3-00 pm.

How will I be sure that my scheduled invoices are being sent?

The server will send you an email report automatically with a list of invoices that were created and sent when your scheduled ran. You may also go to settings and enter your email address where it says CC new Invoices to. . . Don't forget to click save. Then you will be included as a CC recipient when the email is sent to your customer. You can also go to invoices and click on previous invoices, where you will see that the invoice has been created.

How do I put QR codes and payment links on invoices and quotations?

Follow these steps...

  • Login to EZBeanZ. If you don't have an account, register first, then login.
  • Click on Settings and scroll to the list of payment gateways.
  • Select one of the payment providers (Example: PayPal) and click on Show Instructions. A page will appear with instructions relevant to that payment provider as well as a link to register.
  • Click on the link, you will be guided through a registration process where you will need to provide proof of identity, FICA documents etc.
  • Once you have registered with the payment provider, you can login to get the API credentials for your account. This is a password and key that EZBeanZ uses to create the QR codes and payment links on invoices and other documents.
  • Now go back into your EZBeanZ settings and enter the API keys into the space provided. Don't forget to click Save.
Now your invoices, quotations, till-slips and statements will all contain QR codes as well as clickable payment links. You may test the settings by creating a quotation and scanning the QR code with your smartphone. A payment page will appear showing the invoice or quotation amount. Click on the logo of your chosen payment provider and you will arrive at the payment page.

Note: EZBeanZ does not charge transaction fees but the payment provider that you have nominated does. This is typically around 3% but may vary depending on the method of payment and other factors.

Can I sell my products to customers in other countries?

Yes, provided that there is no law against exporting that particular product to that country but your customers may have to pay import duties when their order arrives. To avoid complaints, it is recommended to inform your customers that your invoice does not include any import duties. Remember to include the price of shipping on your invoice if applicable. Export duties seldom apply to finished or manufactured goods. You may quote the customer in your preferred currency and payment can be made in their chosen currency. The conversion is based on the official exchange rate on the day of payment.
